Education International is an independent global union federation that is run by its member organisations representing more than 32 million education workers. At Congress every four years, officers and an Executive Committee are elected. The EI Secretariat, working under the elected General Secretary, consists of a staff of seventy people who are committed to working in the interest of public education and education personnel. Our staff members work in both the headquarters in Brussels, Belgium as well as in our regional offices in Lebanon, Ghana, Malaysia and Costa Rica. We are looking for dedicated individuals who possess not only the relevant experience and professionalism, but also the following core competencies:

  • Excellent level of spoken and written English, plus knowledge of at least one of our three other official languages, German, French and Spanish;
  • A keen interest in issues related to education and trade union matters;
  • Ability to work at an international level in a multicultural and multilingual environment;
  • Ability to balance multiple demands and deadlines with composure;
  • An excellent knowledge of IT, particularly as applied to their field of expertise.

Invites applications for the post of

Administrative Officer

Fixed-term [6 months - maternity cover], full-time, based in EI Head Office, Brussels


Education International, the Global Union Federation, which represents over 400 teachers and other education workers organisations, throughout the world, has a temporary vacancy for an administrative officer, in its head office in Brussels.


Key Role:

The Administrative Officer will work closely with other EI staff in providing administrative and secretarial support and services, as required, to help to achieve the aims and objectives of the organisation and to implement its programmes. The vacancy will be available for seven months from 1st March, 2018 to 31st August, 2018.


Main tasks:

  • Assisting with the organisation of EI meetings, conferences and congresses;
  • Making travel arrangements and booking of accommodation;
  • Collecting, organizing and disseminating relevant information;


Tasks will also include:

  • Editing and drafting of correspondence, reports and other relevant documents;
  • Providing reception services;
  • Monitoring the email correspondence of designated persons and responding or referring it to the appropriate person for response;
  • Assisting with the maintenance of the organisation calendars for internal and external meetings and conferences;
  • Contributing to the support which the unit provides for other units;
  • General secretarial duties, including the maintenance of files and the storage of documentation in both electronic and hard copy form, as required;
  • Undertaking such other appropriate duties and responsibilities, either temporary or permanent, as are assigned from time to time.


Required Education and Employment Background


Appointed candidate should:

  • Have a good standard of education;
  • Have at least 2 years of experience in event management, travel and administration;
  • Be fluent in oral and written English and also have a good knowledge of French and/or Spanish;
  • Be competent in the use of computers for business purposes (MS Office: Word/Excel/Outlook);
  • Have experience of working in a busy office environment; experience in an international context would be an advantage;
  • Be hands on, self-motivated, dynamic, systematic, accurate and able to work under pressure;
  • Demonstrate excellent co-operative, teamwork and communication skills.



Administrative Officers are assigned to the Administrative Services Unit. They work under the direct supervision of the Senior Coordinator of that unit or another coordinator in the unit. Their services may be allocated to other units as required where they may work under the direct supervision of other coordinators and/or members of management.

If the needs of the organisation so require, staff members may be requested to perform appropriate duties related to another position, either on a temporary or permanent basis, provided that these duties correspond to the level of their position and that their professional experience and training is adequate. Position descriptions are not definitive and may be adapted.Staff may also be required to assist with other appropriate work of the organisation and, especially, to assist with the preparations for and to attend and assist with the work of the four-yearly EI World Congress.
